How it works for Azerbaijan

Azerbaijani authorities think in civil-status registration and the şəxsiyyət vəsiqəsi: the Ministry of Justice for civil status, ASAN xidmət for most forms in Baku, the State Tax Service and VÖEN for tax, the Ministry of Education for foreign degrees, a notarius when a power of attorney is used in Ganja. Forms are in Azerbaijani in Latin script (ə ğ ı ö ü ş ç); Cyrillic, Turkish and Russian rarely suffice on originals. We apostille Swedish originals via Notarius Publicus and translate with Kammarkollegiet-authorized Azerbaijani. A document issued in Azerbaijan is apostilled there – via the Ministry of Justice or MFA at ASAN centres 5 and 7. This is the document chain, not ASAN Visa and not an e-visa.

How a Swedish original reaches Azerbaijan

  1. 1 Find out who the recipient is

    ASAN xidmət, the Ministry of Justice, the Ministry of Education or the State Tax Service sends a checklist. The embassy at Barnhusgatan 3 is rarely on it. ASAN Visa is not on that list.

  2. 2 Order the right Swedish original

    Skatteverket, a court or a school issues the paper. Copies rarely suffice for the Ministry of Education or a purchase against the Ministry of Justice.

  3. 3 Translate into Azerbaijani if needed

    ASAN xidmət and most VVAQ offices want authorized Azerbaijani in Latin script. Kammarkollegiet.

  4. 4 Notarise a power of attorney before apostille

    If a notarius in Baku or Ganja is to act for you, the etibarnamə must be attested by Notarius Publicus in Sweden first.

  5. 5 Apostille and tracked return

    Notarius Publicus adds the apostille. You get the original (and translation) back, ready for submission in Azerbaijan.

Azerbaijan accepts Hague apostille on Swedish originals. Basic from SEK 1,595 per document. Embassy legalisation via the MFA is not required for ASAN xidmət, the Ministry of Justice or VÖEN.

How long does it take?

Apostille in Basic often takes 3–5 business days once the original is in. Add time for:

  • ordering a Swedish original from Skatteverket or a school
  • authorized Azerbaijani on longer grade records
  • notarisation of an etibarnamə before apostille
  • several documents in the same Ministry of Education case

Can the embassy at Barnhusgatan 3 apostille for me?
No. They help Azerbaijani citizens with passports and consular work. Apostille on Swedish originals is done by Notarius Publicus in Sweden.
Do I need Turkish or Russian instead of Azerbaijani?
No. Azerbaijani, Turkish and Russian are separate Kammarkollegiet authorizations. ASAN xidmət and VVAQ want Azerbaijani in Latin script, not Cyrillic.
I already have an apostille – is English enough for ASAN xidmət?
Sometimes in the e-queue, rarely on the original. The Ministry of Justice and the Ministry of Education read Azerbaijani. Apostille proves authenticity; translation makes the content readable. ASAN Visa is not the step.
