The right path for Belgium

Swedish originals are apostilled by Notarius Publicus. The FPS Foreign Affairs e-apostille portal is for documents already issued in Belgium. The embassy in Stockholm renews passports. Card A and the single permit are residence. Language follows the commune: Dutch toward KBO and NARIC Flanders, French toward Equivalences FWB and most communes in Wallonia.

How it works for Belgium

Belgium has three language communities and two diploma authorities. A move to Antwerp files birth and marriage through burgerlijke stand at the gemeente, which feeds the National Register. A Swedish degree compared in Flanders goes to NARIC Flanders; the same degree in the French Community goes to Equivalences FWB. Companies receive a KBO/BCE number. Property goes through a notaris toward cadastre. Tax sits with FPS Finance. Notarius Publicus apostilles Swedish originals. Belgian originals are apostilled in Belgium, often via the FPS e-apostille. Card A does not run that chain.

When needed

When does the gemeente or KBO require apostille?

The request is in the email from the gemeente, notaris or NARIC. Typical files:

  • Antwerp or Ghent must enter a Swedish marriage certificate into burgerlijke stand
  • The National Register needs identity papers beyond the residence card
  • NARIC Flanders must compare a Swedish degree against Flemish level
  • A notaris in Ghent must register a purchase toward cadastre
  • A new company needs a KBO number in Brussels
  • A volmacht so someone else can sign at the notaris

  1. 1 Which commune – Flanders or Wallonia?

    Flanders (Antwerp, Ghent, Dutch-speaking Brussels) runs Dutch toward burgerlijke stand, KBO and NARIC Flanders. Wallonia and many communes in Liège run French toward Equivalences FWB.

  2. 2 Order the original in Sweden

    A personal extract from Skatteverket, a diploma from the university, a company extract from Bolagsverket. NARIC Flanders and a notaris rarely take a screenshot.

  3. 3 Translate into the community language

    Authorized Dutch for Flanders (the same Kammarkollegiet authorization as toward the Netherlands, but the file goes to KBO or NARIC Flanders). French when a commune or Equivalences FWB asks for it.

  4. 4 A volmacht is attested before the notaris signs

    If someone in Ghent is buying for you, Notarius Publicus attests the volmacht in Sweden. A Belgian notaris does not stamp that Swedish power of attorney.

  5. 5 Apostille in Sweden, filing in Belgium

    Notarius Publicus adds the apostille. The FPS e-apostille is the wrong door for Swedish papers. You send the original to the gemeente, NARIC or notaris.

A notaris in Ghent must sign for you A purchase toward cadastre needs an attested volmacht. The attestation is done by Notarius Publicus in Sweden before apostille, not by the Belgian notaris.

Dutch in Flanders, French in Wallonia

Burgerlijke stand in Antwerp and NARIC Flanders rarely take unprocessed Swedish. Authorized Dutch from Kammarkollegiet from SEK 1,495. Equivalences FWB and communes in Wallonia usually ask for French. Translation plus apostille from SEK 1,895.

Time toward NARIC Flanders and the gemeente

Apostille usually takes a few business days. The NARIC comparison in Flanders takes longer than the stamp. Also allow for:

  • a volmacht that must be attested before a notaris in Ghent acts
  • Dutch or French depending on the community
  • the NARIC Flanders queue toward degree comparison
  • processing at Notarius Publicus
The embassy does not stamp the KBO file

The embassy renews passports. Apostille for burgerlijke stand, NARIC Flanders and KBO is done by Notarius Publicus. Card A is residence.

FAQ

Can the embassy in Stockholm apostille for me?
Not Swedish originals. They renew passports. Apostille for a gemeente, KBO and NARIC Flanders is done by Notarius Publicus. FPS Foreign Affairs apostilles Belgian documents, often electronically.
Should I translate into Dutch or French?
Flanders and Dutch-speaking Brussels: authorized Dutch (the same authorization as toward the Netherlands). Wallonia and Equivalences FWB: usually French. Ask the commune before you order.
Is card A enough instead of apostille?
No. Card A and the single permit are residence. Burgerlijke stand, KBO and NARIC want apostille on the document. As an EU citizen you do not need a visa for Belgium.
