How it works for Portugal

Swedish personal records, marriage certificates, diplomas and company extracts are used widely in Portugal, but the recipient wants proof they are authentic. Because Portugal is in the Hague Convention, an apostille via Notarius Publicus is enough. No stamp from the Portuguese embassy is needed for ordinary legalisation. VIZA starts from what Conservatória do Registo Civil, cartório notarial, Câmara Municipal, Finanças, AIMA or a university in Lisbon, Porto, Faro, Cascais, Braga or another city actually asks for. When needed

When do Portuguese recipients want an apostille?

The requirement comes from a conservatória, notário, Câmara Municipal or another authority in Portugal. These are the situations we see most:

  • Conservatória do Registo Civil will register marriage, birth or a name and asks for an apostilled Swedish personal record
  • A Portuguese notário requires an apostilled procuração before a property purchase or sale in the Algarve, Lisbon or Porto
  • Finanças or an agent wants legalised supporting papers for a NIF when you lack a local address
  • AIMA or a former SEF related track asks for apostilled civil documents in residence or family cases
  • A university or employer in Lisbon or Porto wants apostilled grades or a criminal record certificate
  • Registo Comercial or a bank requires an apostilled company extract from Sweden

    Many cartórios and conservatórias want authorized Portuguese. English is rarely enough. We can run translation before or in parallel with apostille.

  3. 3 Notarise private powers of attorney

    Procuração and other private documents are certified by a Notarius Publicus before apostille. Public extracts can often be apostilled directly.

  4. 4 Apostille via Notarius Publicus

    We place the apostille under the Hague Convention. It replaces MFA and embassy between Sweden and Portugal.

Apostille for Portugal, not embassy legalisation

Portugal is in the Hague Convention. That makes apostille the correct path for Swedish public documents. A separate stamp at the Portuguese embassy is not needed for ordinary legalisation. The recipient may still require authorized Portuguese translation. Apostille for Portugal starts from SEK 499 in Basic.

Why Portuguese is usually needed

Conservatória offices, Portuguese notários and many authorities rarely accept English alone. Authorized Portuguese translation is therefore a separate step, even when apostille already covers legalisation. We translate with a Kammarkollegiet approved translator from SEK 1,495 and can sync it with apostille. Translation plus apostille package from SEK 1,895.

Timeline before conservatória, notário or AIMA

Apostille usually takes a few business days in Basic once originals are in. Add time for Portuguese translation and any notarisation of a power of attorney. The total is affected by:

  • whether the power of attorney must be notarised first
  • whether authorized Portuguese should run in parallel
  • capacity at Notarius Publicus
  • number of documents in the same case
  • post for originals and return
  • whether the recipient in Portugal wants a specific order of translation and apostille

For ordinary legalisation of Swedish documents for Portugal you do not need an embassy stamp. Apostille via Notarius Publicus is the Hague path.
