How it works for Spain

Swedish documents are increasingly used in Spain, and Spanish notaries, land registries and authorities require them to be authentic and in Spanish. Because both Sweden and Spain are in the Hague Convention, an apostille via Notarius Publicus is enough. No stamp from the Spanish embassy or the MFA is needed. VIZA starts from what the notary, Registro de la Propiedad, the university, the employer or the bank in Madrid, Barcelona, Malaga, Valencia, Alicante or Palma de Mallorca actually asks for. Then we run Spanish translation when needed, notarisation of powers of attorney and apostille. Common cases are NIE and residencia, property purchase on the Costa del Sol or Costa Blanca, studies at Spanish universities and company formation as an SL.

When needed

When do Spanish recipients want an apostille?

The requirement comes from the notary, Registro de la Propiedad, the university, the bank or the employer in Spain. These are the situations we see most:

  • You apply for NIE or residencia and need an apostilled personal record
  • A Spanish university requires apostilled grades or a diploma before admission
  • The notary at a property purchase requires an apostilled power of attorney and personal record
  • An employer in Spain wants an apostilled criminal record certificate or employment certificate
  • A bank or Registro Mercantil requires an apostilled company extract before SL formation
  • Inheritance or property matters in Spain require apostilled Swedish documents

From a Swedish document to an accepted Spain chain

  1. 1 Read the requirement from Spain

    We start from the notary list, university requirement or bank checklist. That decides whether Spanish, notarisation or only apostille is needed.

  2. 2 Translate into Spanish when required

    Spanish notaries and registries generally want authorized Spanish. English is rarely enough. We can run translation before or in parallel with apostille.

  3. 3 Notarise private powers of attorney

    Powers of attorney and other private documents are certified by a Notarius Publicus before apostille. Public extracts can often be apostilled directly.

  4. 4 Apostille via Notarius Publicus

    We place the apostille under the Hague Convention. It replaces MFA and embassy between Sweden and Spain.

  5. 5 Return to you

    You get the papers back with tracked post, ready for the notary, bank or university in Spain.

Apostille for Spain, not embassy legalisation

Spain is in the Hague Convention. That makes apostille the correct path for Swedish public documents. A separate stamp at the Spanish embassy is not needed. The recipient may still require authorized Spanish translation. Apostille for Spain starts from SEK 499 in Basic.

Translation, timing and embassy

Why Spanish is usually needed

Spanish notaries, Registro de la Propiedad and many banks rarely accept only English or Swedish. Authorized Spanish translation is therefore a separate step, even when apostille already covers legalisation. We translate with a Kammarkollegiet approved translator from SEK 1,495 and can sync it with apostille. Translation plus apostille package from SEK 1,895.

Timeline before a notary, bank or university in Spain

Apostille usually takes a few business days in Basic once originals are in. Add time for Spanish translation and any notarisation of a power of attorney. The total is affected by:

  • whether the power of attorney must be notarised first
  • whether authorized Spanish should run in parallel
  • capacity at Notarius Publicus
  • number of documents in the same case
  • post for originals and return
  • whether the recipient in Spain wants a specific order of translation and apostille
Spanish embassy vs apostille

For ordinary legalisation of Swedish documents for Spain you do not need an embassy stamp. Apostille via Notarius Publicus is the Hague path. Do I need embassy legalisation for Spain?
No. Spain is in the Hague Convention, so an apostille replaces embassy and MFA legalisation in normal cases.
In which order should I do the steps?
Private documents are notarised first, then apostilled. Spanish translation can come before or in parallel. The Spanish recipient sets the language requirement.
