Documents for Poland

Swedish documents for Poland

Poland is in the Hague Convention. That means apostille, not an embassy chain. USC offices, notaries, banks and universities in Warsaw, Krakow, Gdansk, Wroclaw or Poznan often want Swedish originals with an apostille and text in Polish. We set the chain from the recipient list.

Correct path

An apostille is enough. No embassy stamp needed

Sweden and Poland are both in the Hague Convention. An apostille via Notarius Publicus replaces MFA and embassy. USC offices, banks and Polish notaries often still want authorized Polish translation. Private powers of attorney (pełnomocnictwo) are notarised before apostille.

Overview

How it works for Poland

Swedish personal records, marriage certificates, diplomas and company extracts are used widely in Poland, but the recipient wants proof they are authentic. Because Poland is in the Hague Convention, an apostille via Notarius Publicus is enough. No stamp from the Polish embassy is needed for ordinary legalisation. VIZA starts from what USC, a court, bank, university or notary in Warsaw, Krakow, Gdansk, Wroclaw, Poznan or another city actually asks for. Then we run Polish translation when needed, notarisation of powers of attorney and apostille. Common cases are civil registration, PESEL, inheritance, selling property from Sweden and studies.

When needed

When do Polish recipients want an apostille?

The requirement comes from USC, a court, bank or school in Poland. These are the situations we see most:

  • USC will register marriage, birth or a name and asks for an apostilled Swedish personal record
  • You apply for PESEL or other personal matters and need to prove civil status from Sweden
  • Inheritance or an estate in Poland requires apostilled Swedish documents
  • You sell a flat or house in Poland from Sweden and the notary wants an apostilled pełnomocnictwo
  • A bank or KRS related matter requires an apostilled company extract
  • A university in Poland wants apostilled grades or a diploma

From a Swedish document to an accepted Poland chain

The usual chain from review to return. Collapse a step if you want less.

  1. 1 Read the requirement from Poland

We start from the USC list, notary email or bank checklist. That decides whether Polish, notarisation or only apostille is needed.

  2. 2 Translate into Polish when required

Many USC offices and notaries want authorized Polish. English is rarely enough. We can run translation before or in parallel with apostille.

  3. 3 Notarise private powers of attorney

Pełnomocnictwo and other private documents are certified by a Notarius Publicus before apostille. Public extracts can often be apostilled directly.

  4. 4 Apostille via Notarius Publicus

We place the apostille under the Hague Convention. It replaces MFA and embassy between Sweden and Poland.

  5. 5 Return to you

You get the papers back with tracked post, ready for USC, a notary or a bank in Poland.

Important

Apostille for Poland, not embassy legalisation

Poland is in the Hague Convention. That makes apostille the correct path for Swedish public documents. A separate stamp at the Polish embassy is not needed for ordinary legalisation. The recipient may still require authorized Polish translation. Apostille for Poland starts from SEK 499 in Basic.

Translation, timing and embassy

Why Polish is usually needed

USC offices, Polish notaries and many banks rarely accept English alone. Authorized Polish translation is therefore a separate step, even when apostille already covers legalisation. We translate with a Kammarkollegiet approved translator from SEK 1,495 and can sync it with apostille. Translation plus apostille package from SEK 1,895.

Timeline before USC, a notary or a bank in Poland

Apostille usually takes a few business days in Basic once originals are in. Add time for Polish translation and any notarisation of a power of attorney. The total is affected by:

  • whether the power of attorney must be notarised first
  • whether authorized Polish should run in parallel
  • capacity at Notarius Publicus
  • number of documents in the same case
  • post for originals and return
  • whether the recipient in Poland wants a specific order of translation and apostille
Polish embassy vs apostille

For ordinary legalisation of Swedish documents for Poland you do not need an embassy stamp. Apostille via Notarius Publicus is the Hague path. The Polish Embassy in Stockholm has its own consular services, but that is a different track from apostille. We help you choose the right path from the recipient requirement.

  • Apostille for Swedish public documents
  • Notarisation of pełnomocnictwo
  • Authorized Polish translation
  • Ordering Swedish extracts when needed
  • No MFA or embassy chain for ordinary legalisation
  • Tracked return to you in Sweden
